Build Better Forms Faster with Bluerithm’s Updated AI Form Builder

The AI Form Building Tool Workflow

1) Start with “Create with AI” 

The updated workflow begins in the Add Work menu. Users can select Create with AI to generate new work items based on their needs. 

From there, the process is straightforward: 

  • Add context for where the work is being created  
  • Choose a category  
  • Describe the work you want to generate  
  • Upload screenshots of existing forms as reference images  
  • Add any specific instructions for the AI to follow  

This makes it easy to give the system both written guidance and visual examples. For teams that already have legacy forms, handwritten checklists, or existing templates, those screenshots can help Bluerithm generate a more relevant starting point. 

2) Choose a Template Style 

The updated AI builder gives users more control over the format of the generated content. You can choose from: 

  • Standard Checklist  
  • Standard Test Form  
  • Custom  

This lets you tailor the output to the kind of work you need. A standard checklist is useful for inspections and verifications, while a standard test form is better suited for functional testing with test procedures and expected results. The custom option gives the AI more freedom to determine the best structure based on your instructions and uploaded references. 

3) Set the Complexity Level 

Users can also choose the complexity of the generated form: 

  • Simple  
  • Complex  

This is a helpful addition because not every form needs the same level of detail. Simple forms are ideal for basic inspections or shorter procedures, while complex forms can support more detailed and comprehensive testing workflows. 

4) Organize by Discipline 

Another major improvement is the ability to create dedicated discipline sections. If needed, users can separate content by discipline, such as: 

  • Mechanical  
  • Electrical  
  • Plumbing  

…and more. 

This is especially useful on projects where multiple trades are involved and the final form needs to stay organized for field use, review, and reporting. 

5) Build Around Industry Standards 

The AI form builder also supports selecting industry standards to guide generated content. Users can choose from options such as: 

  • Buildings: Commissioning  
  • Buildings: Mechanical / HVAC  
  • Buildings: Electrical  
  • Industrial: Mechanical  
  • Green Building & Energy  

…and more. 

This gives teams a stronger foundation when generating work items, helping align forms with the type of systems, scope, and standards relevant to the project. 

6) Generate, Review, and Edit 

Before generating, Bluerithm provides a review screen summarizing the setup, including context, category, instructions, reference images, template type, and complexity. 

Once you click Generate, the system creates a preview of the work items. That preview is editable, giving users the chance to review the AI-generated content and make adjustments before saving it into the project. 

That is an important part of the workflow: AI helps you move faster, but your team still stays in control. The generated output becomes a starting point, not a black box. 

New Excel-Based Editing for Existing Forms 

In addition to the AI workflow, Bluerithm now includes a new Excel-based editing tool for existing forms. 

If you open a form, you can use Excel Edit to export and edit all related sections, along with their tables and individual sections, in one place. This creates a much more efficient workflow for users who prefer making bulk updates in a spreadsheet environment. 

Instead of opening and editing sections one by one, teams can now review and update form content in Excel, then import those changes back into Bluerithm. 

For large or repetitive changes, this is a major time-saver. 

New Spreadsheet Editor for Building Forms and Checklists from Scratch 

For users who want to create forms/checklists manually instead of generating them with AI, there is also a new spreadsheet editor available under the Build from scratch option. 

This editor allows you to create and edit all sections in one spreadsheet-style interface. It is a strong option for teams that already know exactly how they want to structure a form and want the speed of editing everything in one place.
