Introducing Meetings in Bluerithm: A Better Way to Run Commissioning Meetings

Commissioning meetings are where decisions get made, action items are assigned, issues are surfaced, and teams align on what needs to happen next. Bluerithm now gives those meetings a dedicated place to live.

The new Meetings experience in Bluerithm brings the agenda, minutes, files, linked issues, escalated action items, and issued meeting minutes together on one purpose-built meeting page. Instead of treating a meeting like a generic work item, teams can now manage meetings in a way that more closely reflects how commissioning meetings actually work.

A Dedicated Page for Every Meeting

Previously, meetings in Bluerithm were handled as another type of work item. With the new Meetings feature, opening a meeting now takes you to a dedicated meeting page designed specifically around the meeting workflow.

At the top of the page, teams can quickly see the meeting series and number, along with the current stage of the meeting. Meetings move through three stages:

  • Agenda stage
  • Minutes in progress
  • Issued

That gives project teams a clear indication of where each meeting stands without having to dig through notes or separate records.

Each meeting also includes dedicated tabs for Meeting, Files, Linked Issues, Escalated Action Items, and Issued Minutes, keeping the information associated with the meeting organized in one place.

Build and Manage the Meeting Agenda

Before a meeting begins, teams can build out the agenda directly within the meeting page.

Agenda topics can be added manually, or teams can use Auto Draft Agenda when starting from an empty agenda. This gives commissioning leads another option for getting a meeting agenda started without having to build everything manually each time.

For recurring meetings, Bluerithm organizes meetings by series so related meetings stay grouped together. The meeting experience is designed around common recurring workflows such as commissioning coordination meetings and OAC meetings.

Move From Agenda to Minutes

When it is time to begin documenting the meeting, an Account Admin or User can select Start Minutes.

The meeting then moves from Agenda stage to Minutes in progress, making it clear that the meeting is actively being documented.

Once the minutes are ready, the user can select Distribute Minutes. After the meeting has been issued, it can also be Reopened if updates are required.

This creates a straightforward workflow from preparing the agenda through documenting and issuing the final meeting minutes, all from the same meeting page.

Turn Meeting Action Items Into Tracked Work

One of the most important parts of any commissioning meeting is what happens afterward.

Discussion items frequently turn into follow-up work, open issues, or tasks that need to be assigned and tracked. The new Meetings experience helps bridge that gap.

An action item can be escalated using CREATE ISSUE or CREATE WORK ITEM. When that happens, the new record is linked back to the original action item.

Instead of allowing an important follow-up item to remain buried in meeting notes, teams can turn it into tracked project work and continue managing it through Bluerithm.

This can make meeting minutes more actionable by connecting discussions directly to the work that needs to happen next.

Keep Meeting Information Together

Commissioning meetings often generate more than notes. They may involve files, open issues, action items, and issued PDFs that project teams need to reference later.

The dedicated meeting page brings those elements together with tabs for:

  • Meeting
  • Files
  • Linked Issues
  • Escalated Action Items
  • Issued Minutes

That makes the meeting itself a central reference point rather than forcing users to piece together information from several unrelated locations.

For commissioning leads running recurring meetings across a project, this provides a clearer structure for keeping the meeting record connected to the rest of the commissioning workflow.

Give Project Guests Visibility Without Giving Them Editing Access

Not everyone on a commissioning project needs the same level of access.

Project guests can open meetings and review information such as the agenda, files, and issued minutes, while agenda editing remains restricted. Guests cannot add agenda topics, start minutes, or distribute minutes.

This allows broader project stakeholders to stay informed without giving every participant control over the meeting workflow.

Creating a Meeting in Bluerithm

Creating a new meeting starts from the project Work area:

Work → + ADD → Meeting

From there, users can enter the meeting series, title, date, and location, then select CREATE. Existing meetings can be opened directly from the Work list.

Once created, the meeting opens on its dedicated meeting page, where teams can build the agenda, manage attendees, run the meeting, distribute minutes, and connect follow-up work back to the discussion.

A More Natural Workflow for Commissioning Meetings

Meetings are a major part of commissioning project delivery, but the information generated during those meetings is only useful if teams can organize it, distribute it, and follow through on it.

The new Meetings feature gives commissioning teams a workflow built around that process. Agendas, minutes, files, issues, action items, and issued PDFs can now live together in one dedicated experience, making it easier to move from discussion to documented follow-up.
